Collection of personal data
Usage data
We collect and use personal data from you insofar as this is necessary to enable you to use our website or to fulfill our contractual obligations (usage data). This includes, in particular, features for your identification and information on the start, end and scope of use of our website.
For the purposes of advertising, market research and the needs-based design of our website, we may create user profiles using pseudonyms. You have the right to object to this use of your data.
We may not merge the user profiles with data about the bearer of the pseudonym.
In individual cases, we must provide information about this data (inventory data) at the request of the competent authorities, insofar as this is required in accordance with Art. 6 para. 1 c) and d) GDPR for the purposes of criminal prosecution, averting danger, fulfilling the statutory duties of the constitutional protection authorities or the Military Counter-Intelligence Service or enforcing intellectual property rights.
In addition, we will not pass on your personal data to third parties without your express consent, which you can revoke at any time. Excluded from this are our service partners who require the transmission of data for order processing or similar (e.g. the shipping company commissioned with the delivery and the credit institution commissioned with the payment processing).
In these cases, however, the scope of the transmitted data is limited to the necessary minimum. The use of personal data collected by third parties (e.g. Schufa) can be found in the respective general terms and conditions of the specialist retailers. META-Regalbau GmbH & Co KG does not collect any data from third parties.
Access data/server log files
We automatically collect and store information in our server log files that your browser transmits to us. These are
- Browser type and version
- Technical specification of the requesting computer (operating system, screen resolution, Javascript settings, etc.).)
- Referrer URL (the previously visited page)
- Host name of the accessing computer (IP address)
- Time of the page view
- The addresses (i.e. the full URL) of the pages you visit on our website
The data is stored in the log files of our system. The evaluations of these log file data records in anonymized form serve to find errors more quickly and to be able to correct them as quickly as possible.
In addition, this allows us to control server capacities and further improve our offer. We only use IP addresses in exceptional cases for the purpose of analyzing abuse. These purposes constitute our legitimate interest in data processing in accordance with Art. 6 (1) f) GDPR.
This is also the legal basis for processing. The data is not analyzed for marketing purposes in this context. The data stored in log files is deleted after 30 days at the latest.
Existing data
If a contractual relationship between you and us is to be established, developed in terms of content or amended, we collect and use personal data on the legal basis of Art. 6 para. 1 b) GDPR, insofar as this is necessary for these purposes.
Contact form
If you use our contact form, we collect the data required for processing.
This includes your name, address, email address and telephone number. The data is processed exclusively for the purpose of processing your request or to be available for follow-up questions. This data will not be passed on without your consent.
The legal basis for the associated data processing is Art. 6 para. 1 b) GDPR for contract-related inquiries, otherwise Art. 6 para. 1 f) GDPR, based on our interest in processing incoming inquiries efficiently and documenting the result of the processing in the event of queries.
If we request information via our contact form that is not required for contacting you, we have always marked this as optional.
This information is used to specify your request and to improve the processing of your request. This information is provided expressly on a voluntary basis and only with your consent (Art. 6 (1) (a) GDPR).
In addition, if this involves information on communication channels (e.g. telephone number), you consent to us contacting you via this communication channel in order to respond to your request. You can of course revoke your declarations of consent at any time for the future in accordance with Art. 7 para. 3 GDPR.
Data transmitted via the contact form will remain with us until you request us to delete it, revoke your consent to storage or there is no longer any need to store the data. Mandatory statutory provisions - in particular retention periods - remain unaffected.
If you order via our store at store.meta-online.com, your inventory data will be
transmitted to the specialist retailer you have selected to the extent necessary. Here too, we only request the data required for order processing. This data is then processed on the
legal basis of Article 6(1)(b) GDPR. By order of the competent authorities, we must provide information about this data (inventory data) in individual cases, insofar as this is necessary for the purposes of criminal prosecution, to avert danger, to fulfill the legal tasks of the constitutional protection authorities or the military counter-intelligence service or to enforce intellectual property rights in accordance with Art. 6 Para. 1 c) and d) GDPR.
Google enhanced conversion for our online store store.meta-online.com
This website uses Google Ads. Ads is an online advertising program of Google Ireland Ltd, Gordon House, Barrow Street Dublin 4 IE ("Google"). As part of Google Ads, we use so-called extended conversion tracking. This requires consent, which you can object to.
Extended conversions are a function that supplements existing conversion tags. This allows conversion data collected on the website itself to be sent to Google in encrypted form.
When a conversion is performed on a website, user data such as a name, email address or postal address is collected in most cases. These can be recorded and hashed in your conversion tracking tags. The data is encrypted with a one-way hash algorithm SHA256 for this purpose. The hash values of your user data are then transferred to Google and used to improve your conversion measurement.
If the cookie banner is accepted in consent mode, the tracking tags work as usual and record the assigned conversions and click information. In the case of cookie refusal, consent mode only sends ping information. The so-called pings work without cookies. They may contain information such as the timestamp and the referral URL. No personally identifiable information is stored. In addition, Consent Mode can use the pings to compare the opt-in and opt-out rates. This information is then used to model conversions of users who have declined the cookie banner. So if you click on an ad placed by Google, a cookie is set for advanced conversion tracking. Cookies are small text files that the internet browser stores on the user's computer. These cookies lose their validity after 30 days and are not used to personally identificate the user.
Each Google Ads customer receives a different cookie. The cookies cannot be tracked via the websites of Ads customers. The information collected using the conversion cookie is used to generate conversion statistics for Ads customers who have opted for conversion tracking. For example, customers learn the total number of users who clicked on their ad and were redirected to a page with a conversion tracking tag. However, they do not receive any information with which users can be personally identified. If you do not wish to participate in tracking, you can object to this use by easily deactivating the Google conversion tracking cookie via your Internet browser under user settings. You will then not be included in the conversion tracking statistics.
You can find more information about Google Ads and Google enhanced conversion tracking in Google's privacy policy: https://policies.google.com/privacy?hl=de.

1. General scope and description of data processing
We use FAST to correctly assign the success of an advertising medium. The data is automatically deleted after 90 days. No profiling takes place. FAST uses a unique key that third parties cannot assign and therefore users cannot be traced. Personalized advertising is not possible with FAST. FAST establishes a connection between a click on an advertising medium, e.g. an advertisement, and an action, e.g. a purchase or a login or registration. The information transmitted to us serves the sole purpose of correctly allocating the success of an advertising medium and the corresponding billing. FAST does not store any cookies or cookie-like data on your end device. When generating the device fingerprint, only non-personal parameters are merged (browser settings, time zone, CPU class, color depth, browser language, etc.).
2. Scope and description of data processing when using Google Ads / Microsoft Ads
When an action is taken, the order number and the shopping cart value of the order are usually also transmitted and stored by us for 90 days. Personal data such as name, telephone number or address are expressly not collected or stored. In addition, the following values may be transmitted:
- ID (consecutive number)
- ClickID
- Purchase time
- Currency
- Conversion name (store order or lead)
The device fingerprint is processed on the server of the respective customer. If integration takes place via Google Tag Manager, the device fingerprint is processed via the
Smarketer Host Europe server in Strasbourg. Thanks to high security standards, such as an HTTPS connection, the conversion data is sent to our HOST Europe server located in Strasbourg. The transfer of the export file and the processing of the data (ClickID, conversion name, timestamp, order value, currency) takes place in accordance with Google Ads / Microsoft Ads on an American server. The software is set so that no profiling takes place.

Types of Personal Data
No personal data is required or requested for the use of the Shelving Assistant. Users are instructed not to enter any personal data, in particular names, contact details, addresses, customer numbers, health data or any other information relating to identifiable individuals.
In particular, information relating to the desired shelving and installation configuration, as well as the resulting quotation data, is processed.
Categories of Data Subjects
Employees, business partners and customers.
Legal Basis
Users are expressly instructed not to enter any personal data into free-text fields or other input forms.
Should personal data nevertheless be entered, such data will be processed on the basis of the legitimate interests of META-Regalbau in accordance with Article 6(1)(f) of the GDPR for the efficient preparation of quotations and the technical processing of projects.
Data subjects may exercise the rights granted to them under the GDPR. These include, in particular, the right of access, rectification, erasure, restriction of processing, data portability and the right to object to processing. In addition, data subjects have the right to lodge a complaint with a competent data protection supervisory authority.
Recipients / Data Processors
META-Regalbau GmbH & Co. KG is responsible for the processing of data processed in connection with the use of the Shelving Assistant.
The Shelving Assistant is based on secure ChatGPT technology provided via the OpenAI API. The account required for the use of the AI is provided by META-Regalbau GmbH & Co. KG.
The technical development and provision of the Shelving Assistant is carried out by an external agency, which is also the developer of the application. The database and the web service required to operate the application are hosted by an external cloud provider.
Third-Country Transfers
The processing of configuration and quotation data entered during use takes place within Europe. This data is not transferred to countries outside the European Union or the European Economic Area (third countries).
Retention Period / Deletion Policy
The configuration data entered during shelving planning and quotation preparation, as well as the quotation data generated from it, is stored for a period of six months. Once this period has expired, the data is deleted unless statutory retention obligations prevent this or longer storage is required for the performance of a contractual relationship.
Automated Decision-Making (Yes/No)
No.
The Shelving Assistant automatically generates suggestions, configuration recommendations and quotation information based on the information entered and the information and rules stored in the system regarding the construction of shelving systems.
The Shelving Assistant does not make decisions based solely on automated processing that produce legal effects concerning a data subject or similarly significantly affect them. A binding order, contractual decision or any other legally significant decision is not made solely by the Shelving Assistant and requires final review and confirmation by the customer or an authorised employee.
Notes and Review
The suggestions, configurations and quotation information generated by the Shelving Assistant are automatically produced by the AI system and may, despite technical and professional specifications, be incorrect, incomplete or unsuitable. The results should therefore be reviewed before being used for any binding purpose. AI-generated configurations or quotations should not be used without review as the sole basis for placing a binding order or making any other legally significant decision.

Our website uses functions of the web analysis service Google Analytics. The provider of the web analysis service is Google Inc, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA. This ensures that Google truncates your IP address within member states of the European Union or in other signatory states to the Agreement on the European Economic Area before transmitting it to the USA. There may be exceptional cases in which Google transmits the full IP address to a server in the USA and truncates it there. Google will use this information on our behalf for the purpose of evaluating your use of the website, compiling reports on website activity and providing us with other services relating to website activity and internet usage. Google uses this data primarily to optimize its own services and to provide you with individual, personalized advertising. Data deletion or prevention of data storage With the automatic deletion function for location and activity data introduced in 2019, information on location determination and web/app activity - depending on your decision - is stored for either 3 or 18 months and then deleted.
